Set up Sign-Up Sheets for your school

For school admins: who's allowed to create a sheet, whether room parents can manage teachers' sheets, and the housekeeping the module does on its own.

Sign-Up Sheets has one settings page — Admin › Sign-Up Sheets — and it answers two questions: who may start a sheet, and how much finished work is allowed to pile up in an organizer’s list.

Who can create sheets

Room parents, committee chairs, faculty and the board can always create sheets. Two switches widen that:

  • Let any parent create a sheet. On, every parent can start one, managing only the sheets they made themselves. Worth it at schools where a class party is organized by whoever volunteers first; worth leaving off where sheets are meant to be an official act.

  • Room parents can manage teachers’ sheets for their grade. A room parent already manages sheets aimed at their child’s grade — but a teacher’s sheets are aimed at a grade too, conference booking included, so they’re carved out unless you turn this on.

Think about the second one before you enable it. Whoever manages a sheet sees who signed up, even on a sheet that hides names from families. Turning it on means room parents can see which families are meeting which teacher, and when.

Tidying up

Two optional housekeeping rules. Neither notifies anyone, and both are reversible:

  • Close sheets when their close date passes. A sheet past its close date already refuses sign-ups and already reads as Ended, so families see no difference — this just saves someone closing each one by hand to make the list look right.
  • Archive closed sheets after a while. Archiving takes a finished sheet off families’ pages and out of the organizer’s active list; rosters, exports and history are untouched, and any single sheet can be restored.

Leave archiving off and organizers file sheets themselves — the Wrap up the year flow does a whole season at once, which is how most schools will want to do it. There’s no bulk restore, so turn automatic archiving on deliberately rather than as a default.

What isn’t a setting

A few things people look for here and won’t find, because they belong to the sheet rather than the school: the audience, the self-cancel cutoff, per-family caps, whether names are hidden from other families, and whether a sheet is unlisted. All of those are the organizer’s, per sheet — see Create and run a sign-up sheet.
