Add credit for many families at once
For commitment officers: Bulk Credit — batch defaults, adding families by browsing or pasting a list of names, and CSV for the spreadsheet-inclined.
The event ended, the clipboard says eighty families showed up, and every one of them is owed three hours. Bulk Credit is built for exactly that afternoon — and it works just as well for crediting one family.
Open Admin › Service Program › Bulk Credit.
The fast path
- Fill in the “Applies to every row” defaults — the category, the amount, the date, and the event description families will recognize (“Fall Carnival”).
- Choose Add families… and pick who was there:
- Browse — filter by family or parent name and tick people off.
- Paste a list of names — paste the clipboard, one name per line (family names or parents’ full names), and hit match. The dialog tells you what matched, which lines need a choice between two similar names, and which found nothing — nothing is added until you say so.
- Apply to all rows, adjust the stragglers (the family that stayed an extra hour), then Preview.
- Preview validates everything without writing; when it’s clean, Commit. Entries land immediately and appear on each family’s tally as Credited.
Rows that fail stay in the form with their errors; rows that commit are cleared, so a second press can’t double-post anyone.
Families who split their commitment between households need one extra choice — which household the credit belongs to. The page flags those rows and won’t commit until you’ve picked.
The spreadsheet path
Live in spreadsheets? The CSV upload tab takes the same information as a file or pasted text — the first column accepts a family name or a parent’s full name, and blank cells inherit the batch defaults, so a bare name on a line is a complete row. Edit as CSV round-trips whatever you’ve staged back into text, and a sample file shows the exact shape.
If you’re a committee chair
Chairs can use Bulk Credit too — for their own committee’s families. Your entries land as Pending for an officer to approve rather than as immediate credit, and the family list is scoped to your committee. Same workflow, one extra set of eyes.
