Assign plans and waivers
For commitment officers: putting a family on a plan after the deadline, prorating a partial year, and granting waivers that reduce what a family owes.
Families pick their own plans while selection is open. Everything after that — the family that enrolled in November, the plan chosen by mistake, the hardship case — is yours, and it lives in two places under Admin › Service Program.
Move a family to a plan
Family plan & proration is built to work after the parent selection deadline — that’s what it’s for. Look up the family and you’ll see where they stand: their current plan (or none), who chose it, and any proration in effect. For a split family, it also shows each household’s own plan.
- Change plan — pick the plan and write the reason (“enrolled in November; agreed with the office”). An effective date is optional; backdating it changes which plan the year’s existing entries are measured against, so leave it at today unless you mean that.
- Families the default-plan sweep assigned show as such — assigning a plan here is the same thing with a name and a reason attached.
Prorate a partial year
For a family enrolled part of the year, set a proration — a percentage that scales every category’s target (“enrolled for the spring semester only” at 50% turns a 20-hour target into 10). It needs a plan to scale, so assign one first; clear the percentage to return them to the full target. The family’s dashboard shows the prorated numbers with no math left for them to do.
Grant a waiver
Where proration rescales the whole year, a waiver forgives a specific amount — the hardship case, the agreed exception, the disputed shortfall you’re settling. On the Waivers page, create one with the family, the category, the amount, a written reason, and an optional expiry. A waiver can also target the year-end charge specifically rather than the category’s own commitment.
Depending on your role, a waiver you create may need a second officer’s approval — pending ones sit on the same page with Approve and Deny (reason required). Waivers on file are netted automatically when year-end penalties run; see Close out the program year.
